Oral, anonymous, or grievances submitted on behalf of another individual will not be considered a formal grievance and will not be processed in accordance with this procedure. The grievance should include details of the alleged act or condition and how it affects the individual.
Process:
All grievances will be promptly reviewed. A university employee responsible for handling the intake of grievances will reach out to the individual using the email and/or phone number included in the above form. The individual may be asked to provide additional information and/or clarification.
A university representative who is responsible for the investigation processes will assess the grievance and any additional information obtained from the individual to determine proper handling.
- In matters where a student has filed the grievance, Student Affairs and/or the Special Assistant to the President may handle, investigate, or follow up. The university representative responsible for investigations shall be provided with the result of the matter for purposes of record retention.
- In matters where an
employee has filed a grievance, Human Resources and/or Audit and Compliance may handle, investigate, or follow up. The university representative responsible for investigations shall be provided with the result of the matter for purposes of record retention.
- In matters where the individual filing the grievance is not a student nor an employee of the university, Audit and Compliance may handle, investigate, or follow up. The representative who is responsible for investigations shall be provided with the result of the matter for purposes of record retention.
The confidentiality of a grievance under this policy and all documentation, correspondence, interviews, and discussions relating to the grievance shall be maintained on a need-to-know basis to the extent permitted by law and university policy and maintained by the representative who is responsible for the investigation processes at the university.
